Privacy Policy

KidVenture Malta ("KidVenture", "we", "us") runs sports and movement programmes for children aged 3 to 10. We take the privacy of families, and especially of children, seriously. This policy explains what we collect, why, and your rights under the EU General Data Protection Regulation (GDPR).

Who is responsible for your data

KidVenture Malta is the data controller. To confirm: KidVenture's registered business name and address. You can contact us at kidventuremalta@gmail.com.

What we collect

When you apply for a place, we ask for:

• About you: your name, phone number, email address and home address.
• About your child: name, date of birth, age, gender, T-shirt size, any medical conditions or allergies, and whether your child has any special educational needs, disabilities or social, emotional and behavioural difficulties we should know about.
• About the programme: venue, age group, programme type, payment option and any coupon code.
• An emergency contact: name, relationship to your child and phone numbers.
• Your choices and agreements: your photo and video choice, your acknowledgement of the risks of physical activity, your consent to participation and emergency medical treatment, and your typed signature and date.

The exact questions are the ones on the application form at the time you apply.

When you contact us by WhatsApp, phone or email, we receive whatever you choose to send.

Why we use it

• To process your application and run sessions, including contacting you about payment and places. This is needed to provide the programme you are applying for.
• To keep your child safe. We use medical, allergy and additional-needs information only so our coaches can support your child. Because this is health information, we only use it with your explicit consent, which you give on the application form.
• To contact someone in an emergency during a session.
• To share photos and videos of sessions, only if you have given photo and video consent. You can withdraw it at any time.

We never sell your information or share it with anyone for marketing.

How applications reach us

At the moment, the application form prepares an email that you send to us from your own email app, so your application arrives in KidVenture's email inbox.

Who can see it

Only people who need it to run the programme: KidVenture's organisers and the coaches responsible for your child's group. We may share information with emergency services if a child needs urgent help. Our service providers process data on our behalf to deliver their services: Google (Google Forms, Google Sheets and Gmail) and Vercel (which hosts this website).

How long we keep it

To confirm: how long records are kept, for example for the length of the programme plus a set period afterwards. We delete or anonymise information we no longer need.

Your rights

You can ask to see the information we hold about you or your child, correct it, delete it, restrict or object to how we use it, or receive a copy. Where we rely on your consent, you can withdraw it at any time by contacting us.

If you are unhappy with how we handle your information, please tell us first so we can put it right. You also have the right to complain to Malta's Information and Data Protection Commissioner (idpc.org.mt).
